Air Charter Service was asked by a Virginia college to arrange two round-trip charters to NCAA games – one to transport their men’s basketball team to Florida and the other to fly the women’s team to North Carolina.

Route: Men’s team: Virginia > Florida / Women’s team: Virginia > North Carolina

Aircraft:  Men’s team: Embraer ERJ jet / Women’s team: Embraer EMB 120

The client needed two aircraft, each carrying 30 passengers. An Embraer ERJ was sourced for the men’s team and an Embraer EMB 120 for the women’s team, as these were the nearest available aircraft that met their requirements at the most competitive price. Scheduled flights were available but not at the appropriate time. The college wanted to avoid the need for a hotel stay and get the students back to class as soon as possible following each game. We sourced and confirmed both aircraft within 24 hours of the initial enquiry, liaising closely with the client throughout to discuss their options and keep them up-to-date.

THE FINER DETAILS

Flexible Under Pressure: Inclement weather meant it was not possible to land at the original destination. However, we quickly came up with two alternatives prior to departure – the client could either re-schedule to depart the following morning, or go ahead that night but re-route to a different airport two hours away from their original destination. They chose to proceed that night and land at the alternative airport, so we coordinated with the team’s bus company to arrange a transfer back to campus. Everything ran smoothly, despite this last-minute change.
